Why PM matters for commercial refrigeration

A commercial walk-in cooler is a working piece of production equipment, not a home appliance. It runs 24 hours a day, cycles thousands of times a year, and holds tens of thousands of dollars of inventory that can be lost in a single failure event. Nobody in food service enjoys hearing "we found the compressor at end-of-life during the PM visit" — but everyone prefers hearing that during an 11 a.m. scheduled visit rather than at 3 a.m. on a Saturday morning with a full weekend of catering on the line.

The 22-item quarterly PM checklist

Refrigeration cycle (7 items)

  1. Suction pressure + saturation temperature — recorded and compared to manufacturer spec. Trending this measurement across visits catches slow refrigerant loss before it becomes a leak call.
  2. Discharge (head) pressure + saturation temperature — recorded and compared. Rising head pressure across visits is the earliest indicator of condenser problems.
  3. Superheat measurement at the evaporator coil outlet — see the superheat article for why this matters. Superheat outside the design range shortens compressor life dramatically.
  4. Subcooling measurement at the condenser outlet — verifies proper refrigerant charge from the high side.
  5. Compressor amperage vs. rated load amps — catches early-warning wear on internal valves and bearings.
  6. Visual leak check at flare fittings, brazed joints, king valve, service valves, and the compressor Schrader ports. Annual electronic leak detection is scheduled separately for higher-risk systems.
  7. Sight-glass inspection (on systems that have one) — flashing bubbles indicate low charge or restriction; a moisture-indicator color change indicates a wet system that needs drier replacement.

Condenser side (4 items)

  1. Condenser coil cleaning — brushed, then chemically cleaned as needed. Grease, cottonwood fluff, and dust are the biggest capacity-killers we see on Oklahoma commercial systems.
  2. Condenser fan motor operation — bearings checked for noise/wobble, amperage measured, blade balance verified. Failing fan motors are one of the most common failure paths; catching one early saves the compressor.
  3. Condenser fan blade condition — checked for cracks, missing balance weights, and bent tips.
  4. Condensing unit enclosure — checked for rodent nests (a real Stillwater problem), obstructed airflow, and secure electrical connections.

Evaporator side (4 items)

  1. Evaporator coil inspection — visual check for ice buildup, corrosion, and biofilm. Cleaned as needed with an approved coil cleaner that will not corrode aluminum fins.
  2. Defrost cycle verification — timer operation, defrost heater continuity and amperage draw, defrost termination behavior. A stuck defrost is a leading cause of "cooler running warm" during peak service.
  3. Condensate drain line + heater — line cleared and treated, drain-line heater tested (essential in walk-in freezers to prevent drain-line ice-up).
  4. Evaporator fan motors — operation, amperage, bearing condition on every fan (typical walk-in has 2-4).

Box integrity (3 items)

  1. Door gasket condition — dollar-bill test at all four sides, plus visual inspection for cracks, hardening, and gaps at corners. Gasket replacement scheduled when needed.
  2. Door hardware — hinges, closer, strike plate, safety-release handle from inside (critical safety item on walk-ins), gasket-warmer wire operation.
  3. Panel and floor condition — check for panel separation, floor damage from pallet jacks, and insulation compromise.

Controls + electrical (4 items)

  1. Thermostat / setpoint verification — calibrated thermometer used to verify actual box temperature matches thermostat setpoint. Setpoint adjusted if drift is present.
  2. Contactor and relay inspection — pitted contacts replaced; coil resistance measured; supply voltage verified at contactor inputs and outputs.
  3. Safety-switch verification — high-pressure switch, low-pressure switch, defrost termination thermostat, and door safety-release handle all tested.
  4. Documented service record — printed and emailed to the operator, with all measured values, photos of critical components, any recommendations for follow-up work, and a scheduled next-visit date.

What kitchen staff can (and should) do between PM visits

  • Wipe down door gaskets weekly with warm soapy water. Grease buildup on the gasket surface prevents the door from sealing tight and shortens gasket life dramatically.
  • Brush the condenser coil monthly — a soft brush from the outside. Grease and cottonwood fluff on a condenser can drop refrigeration capacity 20-40% before anyone notices the box climbing warm.
  • Log walk-in cooler and freezer temperatures at the start and end of every shift. Trending helps you catch drift before it becomes a failure — and it satisfies your health department documentation requirement.
  • Keep 6 inches of clearance around the evaporator coil. Product stacked too close chokes airflow and mimics a compressor problem.
